About Us

Meeting Matters is Islamabad’s leading mental health clinic providing professional counseling and therapy services. We’re growing and need a dedicated Client Relationship Manager to be the first point of contact for our clients.

The Role

We’re looking for someone who loves helping people, stays organized under pressure, and can manage client communications with warmth and professionalism.

You’ll be responsible for:

Client Communication:

  • Respond to client inquiries via WhatsApp, phone, email, and social media (within 5 minutes)
  • Provide warm, professional first contact for people seeking therapy
  • Answer questions about our services, therapists, and fees
  • Follow up with potential clients who haven’t booked yet

Booking & Scheduling:

  • Match clients with the right therapist based on their needs
  • Schedule therapy sessions across multiple therapists
  • Send session confirmations and reminders
  • Handle rescheduling and cancellations
  • Manage therapist availability calendars

Payment & Follow-up:

  • Send payment details to clients
  • Track and follow up on outstanding payments
  • Confirm payment receipts
  • Maintain accurate payment records

Administrative:

  • Send intake forms to new clients
  • Maintain organized client records
  • Prepare daily/weekly booking reports
  • Update client information in our system

Client Experience:

  • Ensure every client feels heard, valued, and supported
  • Handle concerns professionally and with empathy
  • Create a welcoming, judgment-free atmosphere
  • Maintain strict confidentiality

What We’re Looking For

Required:

  • Islamabad resident (must be able to commute to F-11/1 area)
  • Intermediate/A-Levels or Bachelor’s degree
  • 1-2 years customer service or client relations experience
  • Excellent communication skills in English and Urdu (written and spoken)
  • Fast, professional WhatsApp and phone communication
  • Strong organizational skills and attention to detail
  • Comfortable with MS Office and Google Suite
  • Empathetic, patient, and professional demeanor

Preferred:

  • Experience in healthcare, counseling, or wellness industry
  • Understanding of mental health and therapy
  • Experience with booking/scheduling systems
  • Social media management skills
